A Brief is built from your documents, so the first thing most businesses ask is a fair one: where does our information go, and who can see it? Here is the honest, plain-English answer. The formal detail is in our Privacy Policy.
- It’s stored in Australia. Your documents, the questions your customers ask, and the answers we compose are kept on infrastructure in Sydney. To compose an answer we send the relevant passage to our AI providers for processing, but your records are stored here, in Australia.
- Your documents power your Brief. We use them to provide your service and to create the anonymised Usage Data described below. Your documents are not blended into another business's answers. AI answers remain subject to the limitations in our Terms of Service.
- It is never used to train AI. We do not train models on your content or your customers' questions, and our AI provider does not either.
- Your personal information and source records are not sold. We do not sell your documents, raw questions and answers, leads or personal information, or hand them to third-party advertisers. Under §09 of our Terms of Service, Ringlio owns aggregated, anonymised Usage Data across clients, brands and sites and may retain, publish, license or sell it for service improvement, research, analytics and benchmarking, without further client approval or payment. It must not contain confidential client information or identify, or reasonably enable identification of, any individual, client or brand, including when combined with other information reasonably available in its intended context. Hashing identifiers alone is not sufficient. We use reasonable safeguards against re-identification and stop using or disclosing data as Usage Data if it no longer meets these limits. This does not permit AI-model training.
- Access is locked down. The data sits behind row-level security reachable only by our server — not exposed to the public or the browser. Visitor IP addresses are stored only as a scrambled one-way hash, and we don’t log the text of questions in our security records.
- You can have source records deleted. Ask us, or cancel, and we remove your documents and account data - bar anything the law obliges us to keep - and a visitor can have their registered details removed on request. We may retain Usage Data only while it meets the requirements in §09 of our Terms; this does not extend retention of source records.

We use Vercel Web Analytics on ringlioai.com to understand visits, referring sites and device types without analytics cookies. These statistics are separate from your Brief records and may be processed outside Australia. Our tracker removes query strings and fragments from page URLs and does not send form-field contents. In writingTwo commitments to every client
This page is more than reassurance — our Terms of Service (§ 09) turn it into promises:
- If we become aware of a data breach affecting your documents or your visitors’ information, we notify you without undue delay, tell you what we know, and keep you informed as we contain and resolve it.
- This list is the list. Before we add or replace a provider that will process your data, we give you prior written notice — and if you reasonably object on data-protection grounds, you can cancel before the change takes effect.
